Internal in-person agenda
Create a detailed agenda for network coordinators, speakers, and the core planning team.
Sample internal agenda for an in-person event
7:30–8:30 a.m. Arrival and preparation
- Put up signs, if needed, to direct attendees to the meeting room
- Arrange tables and chairs in a large circle, classroom, or small group format, as desired
- Arrange any handout materials and printed agendas
- Designate a “parking lot”—in the form of a blank flip chart or white board—for questions and ideas that arise and should be discussed at a later point
- Display sign-in sheet (or pass it around during welcome remarks)
- Find a location to put stakeholder agency information and other helpful resources
- Check A/V equipment and test any presentations (PowerPoints, etc.)
- Prepare any refreshments
- Confirm any last-minute updates to agenda
- Confirm who will take the following roles: notetaker, exercise facilitator, person to progress presentation slides, time-keeper
8:30–9:00 a.m. Meet and greet
- Provide table tents or name tags for attendees to write their name and organization
- Make an announcement five minutes before the meeting starts
9:00–9:15 a.m. Welcome remarks
- Thank everyone for attending, go over logistics (such as bathroom location), explain the purpose of the convening, and acknowledge any planning partners
- Introduce a guest speaker to provide opening remarks
9:15–9:45 a.m. Introductions
- Each stakeholder should briefly share their name, position, organization, and interest in being part of the network.
9:45–10:15 a.m. Background information
- Share a presentation that provides an overview of networks, a summary of CFPB research on networks, a description of promising practices related to combating elder financial exploitation, and a list of local or regional success stories
10:15–10:45 a.m. Networking break
10:45 a.m.–12:30 p.m. Group exercises
12:30–1:00 p.m. Lunch (Brown-bag or sponsored)
- After lunch, remind attendees to write down any additional thoughts on the sticky notes provided and stick them on the “parking lot”
1:00–2:00 p.m. Training

This sample agenda breaks the convening into two sessions that take place on different days to avoid screen fatigue on the part of participants.

- Do a sound and video check with each presenter

- Ensure that team members are on hand to assist individuals with technical difficulties

- Thank participants for attending, review logistics and how key features of the virtual platform work, explain the purpose of the convening, and acknowledge planning partners
- Feature a brief welcome from one or more special guests or co-hosts
9:15–9:45 a.m. Why we’re here
- Use polling to find out the types of organizations represented by participants and other demographics
- Depending on the size of the group, invite people to share their names and organizations verbally or by typing them into chat
- Share a presentation that provides an overview of networks, a summary of CFPB research on networks, a description of promising practices related to combating elder financial exploitation, and a list of local or regional success stories.
